2. Hosting and server logs

This website is hosted by Vercel Inc., 440 N Barranca Ave #4133, Covina, CA 91723, USA. When a page is accessed, Vercel processes technically necessary data: IP address, date and time, page accessed, amount of data transferred, browser and operating system. These data serve to deliver the pages, to ensure security and to analyse errors, and are deleted after a short period.

The legal basis is our legitimate interest in the secure and stable operation of the website (Art. 6(1)(f) GDPR). A data processing agreement is in place with Vercel; the transfer to the USA is based on the Standard Contractual Clauses of the European Commission and on Vercel's certification under the EU-US Data Privacy Framework.

3. Cookies and tracking

This website sets a cookie only if you expressly choose a language using the language switcher. The cookie “locale” stores nothing but this choice (German or English), so that the site appears in the chosen language in future; it is deleted after one year and is strictly necessary for the service you have requested (§ 165(3) of the Austrian Telecommunications Act 2021). Without such a choice, the language setting of your browser determines the language, and nothing is stored.

The website does not use any analytics, advertising or social media services. No usage profiles are created, and no data are passed on to third parties for advertising purposes.

4. Licence request

When you submit the licence request form, we process the data provided there: company, name, email address, optionally telephone number, details of the preferred mode of operation and scope, and your message. We use these data solely to answer your request, to prepare a quotation and to provide a licence key.

The legal basis is the performance of pre-contractual measures at your request (Art. 6(1)(b) GDPR). The request is sent to us by email; for delivery we use the service Resend (Resend, Inc., 2261 Market Street #5039, San Francisco, CA 94114, USA) on the basis of Standard Contractual Clauses. We store requests for as long as is necessary for processing and for any contract negotiations, and no longer than twelve months after the last contact if no contract is concluded.

5. Contact by email or telephone

If you contact us by email or telephone, we process your details in order to handle your enquiry (Art. 6(1)(b) and (f) GDPR). Emails are deleted once the enquiry has been dealt with, unless statutory retention obligations apply.

6. The software easydocketing

easydocketing is built so that your data remain with you. Files, documents, events, deadlines and notes are stored exclusively on your computer, your server or in your own cloud container. Proofbox GmbH has no access to these data.

Outgoing connections of the software are limited to two purposes. First, retrieval of signed rule, calendar and fee packages and, where a licence exists, its verification via our update server; only the licence key (if any) and the version number of the software are transmitted, with no user data and no telemetry. Second, if you configure an AI model from a cloud provider, the transmission of document texts to that provider using your own API key; this contract exists between you and the provider. In the “Local” or “Off” mode, no document leaves your network. Every outgoing connection can be inspected in the network log of the software.

For the cloud variant operated by Proofbox GmbH, we conclude a data processing agreement with you pursuant to Art. 28 GDPR, which specifies hosting and location.

7. Recipients and transfers to third countries

Recipients of personal data are the processors named in this policy (hosting, email delivery). Data are transferred to third countries only where an adequacy decision exists or appropriate safeguards such as Standard Contractual Clauses are in place. No disclosure for other purposes takes place.

8. Your rights

You have the right of access, rectification, erasure, restriction of processing and data portability, and the right to object to processing based on a legitimate interest. 9. Changes

We amend this policy when the website, the software or the legal situation changes. The version published on this page at the relevant time applies.
